Getting started

Send your first campaign

  1. Confirm your email address (link in your inbox).
  2. Connect a mailbox under Sender accounts and run Test connection.
  3. Check your domain under Domains — SPF, DKIM and DMARC should all pass.
  4. Create a template, then a campaign that uses it.
  5. Import leads (CSV) into the campaign and press Launch.

Connect Gmail or Google Workspace

Google requires an App Password — your normal password will not work.

  1. Turn on 2-Step Verification for the Google account.
  2. Open myaccount.google.com/apppasswords and create a password named “Kaysid”.
  3. In Kaysid, choose Gmail / Google Workspace and paste the 16-character password.

Workspace admins: if App Passwords are hidden, allow them under Security → 2-Step Verification.

Connect Microsoft 365 / Outlook

Your Microsoft 365 admin must enable Authenticated SMTP for the mailbox (Admin center → Users → Mail → Manage email apps). Server smtp.office365.com, port 587. With MFA on, use an app password.

Connect any other mailbox (cPanel, Zoho, SES, self-hosted)

Use the outgoing (SMTP) server, port and username your host gives you — usually the full email address. Port 587 uses STARTTLS; 465 uses SSL. Add the IMAP server under Advanced so replies, bounces and warm-up work.

Deliverability

Set up SPF, DKIM and DMARC

These DNS records prove your emails are really from you. Your email provider gives you the SPF and DKIM values; add them at your domain's DNS host, plus a DMARC record such as v=DMARC1; p=none; rua=mailto:you@yourdomain.com. Check them on the Domains page. Gmail and Yahoo require all three for bulk senders.

Warm up new mailboxes

Turn on warm-up for at least two mailboxes. They exchange short notes, starting at 10 a day and growing by one a day. Give a brand-new mailbox two to three weeks before sending campaigns at full volume, and keep warm-up running afterwards.

How fast and how much to send

Start at 30–50 emails a day per mailbox and 3–6 minutes between emails. Spread volume over several mailboxes rather than pushing one harder. The Free plan allows 50 emails a day per workspace.

Templates and leads

Write or paste templates

Create a template from HTML (including code from ChatGPT or Claude — paste the whole answer), Markdown, plain text, or an uploaded .html/.md/.txt file.

Merge tags: {{First Name}} {{Company}} {{Email}}. Spintax {Hi|Hello} picks one option per email. %%unsubscribe%% becomes the one-click unsubscribe link.

Import leads from CSV

Only an Email column is required. Recognised columns include First Name, Last Name, Company, Job Title, Country, City, Website, LinkedIn, Phone and Group. Duplicates, unsubscribed and bounced addresses are skipped automatically.

Compliance

Unsubscribes and the suppression list

Every email has a one-click unsubscribe link and header. When someone opts out — or an address hard-bounces — it goes on your workspace's suppression list and is never emailed again from any campaign. Opt-outs cannot be removed. You can add or export addresses under Settings → Suppression list.

What you may send

Relevant, one-to-one business outreach to people you have a lawful basis to contact. See the Acceptable Use Policy. Accounts that spam or harvest lists are suspended.

Account and team

Invite teammates and set roles

Settings → Team. Owners control everything; Admins manage people, mailboxes and settings; Editors run campaigns, templates and leads; Viewers can only look. Each workspace keeps its own data.

Delete your account or data

Delete a workspace under Settings → Workspace, or your whole account under Settings → Profile. Deletion is permanent. For anything else, email support@kaysid.app.
